For sales and property management
AI for real estate companies and developers: answer enquiries faster.
Monday morning: new portal enquiries about the project, plus emails from owners about the service charge statement. AI for real estate companies pre-sorts, adds missing details and prepares replies. Your team checks and sends.
Pre-sort enquiries, prepare follow-up questions, fill the CRM.
Recurring questions with a draft reply to the person in charge.
Brochures, plans and minutes searchable, with the source.
What you get
What AI does for developers and property managers.
You do not get an off-the-shelf chatbot, but a workflow that we test in a pilot with your portals, your CRM and your document storage.
Developers
Prospects qualified faster
Enquiries from portals, website and email land together in the CRM, with needs, missing details and a prepared follow-up question.
Property management
Owner enquiries prepared
Questions about statements, damage or resolutions are sorted and passed to the person in charge with a draft reply.
Project Knowledge
Find documents with one question
Specifications, plans, minutes: your team asks in their own words and gets the answer with the source.
What it looks like
One portal enquiry. A prepared CRM entry.
A prospect asks about an apartment, leaving timeframe and financing open. The AI recognises the project and the need, finds matching units and prepares the follow-up question. Your sales team decides what goes out.
“We are interested in a 3-room apartment with a balcony in the Musterpark project. Please send us documents.”
Musterpark project, 3 rooms, balcony requested. From the portal enquiry
Two matching available units and the current brochure. From the unit list and project storage
Timeframe and financing are open. The reply with the question and documents is prepared.
Sales checks, adjusts and sends. The AI sends nothing on its own.
Example with sample data, not a customer reference. Which details really make an enquiry assessable is shown in our article on real estate leads.
Example: property management
An owner’s question about the statement. A prepared draft reply.
An owner is surprised by the amount due in the annual statement. The application checks the sender and retrieves the statement figures, and the AI prepares a reply. Your team decides what is sent.
“Why is the amount due almost twice as high this year? Can I pay it in instalments?”
The sender is on record as the owner of unit 7. Only then does the application retrieve statement data.Fixed rule
Statements 2024 and 2025 for unit 7: operating costs went up, advance payments stayed the same. The draft explains the amount due with these figures. From the property management software
The draft does not promise instalments. Your team clarifies whether they are possible.
Your team checks the draft, adds the answer on instalments and sends it. The AI sends nothing on its own.
Example with sample data, not a customer reference.
How it works
From the first conversation to a running pilot.
01
Discovery Call
30 minutes, free of charge: which enquiries cost your team a lot of time today?
02
Choose a starting point
If several ideas are open, first the AI Opportunity Assessment at a fixed price, otherwise straight to the pilot.
03
Test the Pilot
Real enquiries run through, your team checks every result.
04
Decide
Expand, improve or stop, based on the measured results.
Is this right for you?
AI pays off for you if …
Volume
… many similar enquiries come in
Portal enquiries about a project or recurring questions from owners: the pattern repeats.
Documents
… documents are scattered
Brochures, plans and minutes sit in folders, emails and document storage, and your team searches.
Honest
Less suitable: a few individual properties
If you sell a few properties a year with very personal service, AI rarely pays off. We will tell you openly.
Who is behind it
Advice and delivery from one source.
You talk to the person who actually builds your process.
Tested in-house
61 of 61 invoice numbers
In a test with our own documents, the process read all 61 invoice numbers correctly. Only the numbers were measured.

Your data
Only the data that is needed
For every detail we clarify beforehand what it is needed for. Rejections and deferrals are always decided by a person.
Frequently Asked Questions
Frequently asked questions from sales and property management.
Can AI rate our leads automatically?
It can organise details and suggest a reasoned classification, which can also be wrong. You set the criteria. Nobody is deferred or rejected because of an AI classification alone; your team decides that.
Do we need a new system for this?
Usually not. We connect the portals, forms, CRM and storage you already use. A custom application only pays off if your processes differ strongly from the standard.
Where does prospect and owner data stay?
Personal data does not go to external AI services without an explicit agreement. Where the AI runs, we decide together beforehand.
What does it cost?
The first conversation is free. The AI Opportunity Assessment costs €1,900 excl. VAT. For the pilot you receive a written quote.
Next Step
How many enquiries does your team answer by hand every week?
Bring two or three typical enquiries, without names or customer data. In 30 minutes we clarify what can be prepared and what a pilot looks like. In person with Martin Trixner, free of charge and without obligation.
