Quotation Process Assessment · 2 Weeks · Fixed Price
A Sound Pilot Decision for Your Quotation Process – in Two Weeks.
We analyse 3–5 real technical customer enquiries, including systems and handoffs. You receive a process and system map, prioritised bottlenecks and a clearly defined pilot scope as a basis for decision-making – without technical implementation at this stage.

Timeline
10 Working Days

When is it a good idea?
When Technical Enquiries Recur but Every Case Has to Be Reassembled from Scratch.
The assessment suits companies that need to combine requirements from emails and attachments with product knowledge, previous quotations or data from ERP, DMS and CRM.
It is deliberately not a general AI consultation. The focus is one real quotation process with a measurable bottleneck and clearly assigned subject-matter ownership.
Scope
Four Work Steps Lead to a Sound Pilot Decision.
The assessment begins with real cases and ends not with a list of ideas, but with an actionable next step.
01
Capture the Starting Point
Define the objective, roles, volume and current processing time together in the kick-off.
02
Examine Enquiries
Analyse 3–5 representative cases, attachments, follow-up questions, knowledge sources and system handoffs.
03
Evaluate potential
Determine for each step whether process clarification, fixed rules, integration or AI support provides the greatest value.
04
Scope the Pilot
Document the target state, scope, required data, roles, risks and measurable success criteria.
Your Outcomes
You Receive a Working Basis for the Next Budget Decision.
All outcomes are compiled in a concise PDF and explained in the final session.
Current State
Process and System Map
A clear view of inputs, processing steps, roles, sources and handoffs.
Priorities
Assessed Bottlenecks
Time spent, follow-up questions, duplicate entry, quality risks and technical dependencies.
Solution Logic
Rules, Integration or AI
A transparent recommendation for each process step, including what should remain unchanged.
Next Step
Actionable Pilot Proposal
Functionality, required data, responsibilities, technical prerequisites, metrics and a non-binding time and cost range.

Fictional example – not a customer reference or outcome guarantee.

This Is What the Decision Basis Looks Like.
Using a completely fictional technical quotation process, the sample shows how findings are condensed, assumptions are disclosed and a pilot is clearly scoped.
- Process and system map with responsibilities
- Bottleneck matrix with value, risk and recommendation
- Value assumptions instead of promised savings
- Pilot proposal with metrics, boundaries and cost range
Relevant Experience
Technical Experience for Real Processes and Systems.
Martin Trixner has developed web, software and integration solutions since 2002, supporting digital processes from requirements through to live systems. Since 2024, an additional focus has been on AI-assisted processes, RAG and automation.
Capture established workflows, roles and technical dependencies clearly and structure them on a sound basis.
Assess web applications, APIs and existing business systems so that a later pilot remains ready to integrate.
Martin Trixner leads the assessment, solution logic and results review from both a business and technical perspective.
Technology Decision
Not Every Bottleneck Needs AI.
The quotation process assessment distinguishes four solution types. This ensures that later budget goes to the most suitable solution rather than automatically to the most technically spectacular one.
Process
Clarify and Standardise
When roles, inputs or approvals are not yet clear.
Workflow
Connect Rules and Systems
When decisions can be described and data is reliable.
AI Support
Interpret Documents and Language
When requirements, attachments or free text need subject-matter preparation.
Human Approval
Keep Responsibility Visible
When price, feasibility or binding commitments need to be assessed.
Your Involvement
Limited Effort, but Real Cases and Subject-Matter Knowledge.
Required: 3–5 representative customer enquiries with typical attachments, one responsible subject-matter expert and an overview of the repositories and systems involved.
Examples can be anonymised in advance. Access to production systems is generally not required; screenshots, exports or a joint review are sufficient.
Client time required: approximately three to four hours for preparation, kick-off and results review.
Confidentiality & Data Protection
Your Documents Remain within a Clearly Defined Engagement.
Before the project starts, transfer, access, retention and deletion are agreed to suit the documents involved. Data minimisation applies to the assessment: only information required for the engagement is used.
Data Minimisation
Anonymise Where Names Are Not Needed
Sample enquiries can be anonymised in advance or reduced to the relevant technical content.
AI Services
No Unauthorised External Upload
Client documents are not transferred to external AI services or used to train models without an explicit agreement.
Access & Deletion
Define Responsibilities in Advance
Authorised access, storage location and the return or deletion of working documents are agreed before work begins.
Contractual Framework
Clarify Roles and Confidentiality
Where required, confidentiality agreements, data processing arrangements and other data protection requirements are clarified in advance.
Clear Boundary
Assessment and Pilot Planning – Clearly Separated from Implementation.
The fixed price covers one clearly defined variant of a quotation process, for example for one product group or organisational unit, 3–5 sample cases, up to four directly involved systems or repositories, one responsible subject-matter contact, two remote sessions and one joint revision of the outcome document. On-site sessions and travel expenses are agreed separately if required.
Software development, integration implementation, existing-data cleansing and production AI operation are not included. The pilot proposal contains a non-binding time and cost range; a binding implementation quotation is prepared separately if required.
The assessment is not suitable if no representative cases or responsible subject-matter expert are available, or if immediate technical implementation is expected.
Next Step
Is the Assessment a Fit for Your Quotation Process?
In a 30-minute discovery call, we clarify whether the process, sample enquiries and expected outcome fit the defined scope. You decide whether to commission the assessment only afterwards.
The PDF remains freely accessible. An enquiry or appointment booking is simply the next personal step – not a commission.
